Diary Manager - £15.66ph plus Hol Pay – Central London

 

Immediate start to the end of July 2022 initially

 

We are recruiting for an experienced Diary Manager to join one of London’s leading Universities.

 

DUTIES AND RESPONSIBILITIES:

  • Manage and maintain complex diaries and email accounts.
  • Ensure diary commitments, papers, and arrangements are managed effectively.
  • Arranging internal and external meetings.
  • Co-ordinate and negotiate conflicting demands in order to schedule priority meetings in the diary.
  • Make travel arrangements for Senior Management as required including booking transport (train, air etc.) and accommodation.
  • Servicing meetings, setting the agenda, noting action points, typing and disseminating.
  • Setting up Zoom events.
  • Managing mailing lists.

 

PERSON SPECIFICATION

  • Previous experience of working in a EA or comparable role, in an organisation of comparable scale and complexity.
  • Experience of managing complex, busy diaries.
  • Experience of servicing high-level committee meetings.
  • Demonstrable experience of working unsupervised with excellent planning and organisational abilities; ability to plan and prioritise own workload.
  • The ability to work under pressure, plan and co-ordinate multiple activities for self and others and manage competing priorities.
  • Ability to communicate effectively and professionally, in writing, by phone, and in person, with tact, diplomacy and sensitivity across a wide range of people at all levels in and outside the University.
  • A methodical and accurate approach to work combined with excellent attention to detail.
  • Absolute discretion when dealing with confidential or sensitive matters.
