Job Description

Personal Assistant to Professor - £15.66ph Plus Hol Pay - Central London

 

Duration: 3 months (initially)

 

Duties and Responsibilities:

  • Complex diary management.
  • Coordinate travel engagements, including booking transportation, arranging accommodation and liaising with host institutions in the UK and abroad.
  • Organise meetings with international collaborators, research staff and research funders.
  • Inbox management.
  • Prepare documents and PowerPoint slides for presentations.
  • Manage invoices and travel expense claims.
  • Act as the main point of contact for fundraising and donation enquiries.
  • Maintain and update the research website.
  • Prepare medico-legal reports.
  • Act as a point of contact and information for researchers and institutes.
  • Manage post correspondence.
  • Liaise with the Professor’s research team and clinical NHS secretary daily.
  • Coordinate the purchasing of equipment and office supplies, and process purchase orders and invoices.
  • Maintain local administrative records to facilitate the storage and retrieval of financial information.
  • Manage reference databases such as Mendeley (training will be given).
  • Assist the Professor in the drafting of academic papers and grant applications, where needed. 

 

Person Specification:

  • Experience of working in Higher Education or research/medical environment.
  • Substantial administrative experience including maintaining a complex diary and dictation transcribing.
  • Experience of arranging complex international travel itineraries.
  • Experience of updating and maintaining websites.
  • IT proficiency at advanced user level (PowerPoint, Excel Spreadsheet, Word Processing, Database, Email, Web based applications).
  • Excellent oral and written communication skills.
  • Excellent organisational skills.
  • Resourceful and able to act on own initiative.
