Job Description

Hybrid role. We are seeking to appoint an experienced Senior Bids Manager. The successful candidate will help to prepare bids for a wide range of research funders including UK and foreign governments, corporates, grant-giving institutions, and others. Working closely with subject-matter experts, the successful candidate will prepare bids for research contracts, frameworks, and grants, review project budgets, inform staff on bid requirements, and ensure that all internal and external deadlines are met.

The role will include:

  • End-to-end project management of high-quality bids, including tender responses, funding applications and requests to participate.
  • Compile and arrange bid language, working with subject matter experts to do so and offering quality assurance and suggested edits ahead of submission.
  • Compile information about the organisation, its registrations, policies, organisational structure, banking and insurance details, financial information, and other details to be included in bid submissions.
  • Review project budgets, ensuring that they are prepared consistently and in line with internal policies and funder requirements, working with the research teams to achieve this.
  • Oversee progress of all bid work streams to ensure that bid deadlines are met.
  • Keep records of past bids, the outcomes of bids and feedback received, circulating that feedback among colleagues when requested.
  • Manage access to various bid portals (e.g., JeS, Horizon2020 Research Participant Portal, Conflict Security and Stability Fund portal) to identify opportunities and manage and submit completed bids.
  • Establish strong working relationships with research teams, and external partners where relevant.
  • Attend respective research team meetings on an ad-hoc basis and work closely with research team project managers and project officers.

The skills and experience we are looking for include:

  • A track record of submitting high-quality research project proposals to prospective funders and donors, with a high success rate.
  • The ability to produce clear, accurate and insightful written output, meeting the highest quality standards.
  • A track record of producing and reviewing small, medium, and large project budgets often within formats provided by the funder, including examples of successful negotiations with project partners on scope and budget.
  • Basic knowledge and awareness of common requirements for bid submissions, including such items as statements on duty of care, quality assurance, supply chain management, gender, and diversity, equity, and inclusion.
  • Ability to manage tight deadlines, multitask, and to handle sensitive and confidential matters with discretion.
  • A basic understanding of contractual matters and experience in resolving them.

Desirable skills

  • Basic knowledge and awareness of MREL and Theory of Change frameworks, including experience of working with partners to produce them.
  • Previous experience in grants administration or project management, ideally in an international and/or policy environment.
  • Project management certification such as Prince 2.
