Teaching and Learning Administrator - £15.66ph Plus Hol Pay – London


Duration: 3 months




Course Administration

  • Responsible for handling queries from elective students and their home departments in a timely manner.
  • Act as a point of contact for prospective and current students in person, on the telephone and by email, and provide information on procedures, regulations, programme and module choice.
  • Support induction and start of session arrangements, including module registration, collation and distribution of welcome packs, meeting and greeting students, issuing passes as required.
  • Support the processing of module approvals and amendments in line with targets, liaising with parent departments and Faculty team where necessary.
  • Carry out student data checks as directed by the Elective and Affiliate Coordinator.
  • Carry out the administration of module Moodle sites, ensuring materials are updated and students are correctly enrolled.
  • Support module leaders with the administration of their modules including assessment requirements and student eligibility requirements.
  • Allocate students to lecture groups/seminar/workshops/dissertation supervisors and upload information onto systems.
  • Responsible for reviewing and monitoring student attendance using designated systems such as Moodle and Portico and flagging students of concern.
  • Responsible for engagement monitoring processes for designated modules/ programmes, ensuring compliance with UKVI requirements.
  • Update and brief academic/teaching staff on attendance procedures and student registration requirements, where relevant.
  • Create outcome letters for students following exam boards.
  • Support with the preparation of Student Handbooks such as collation of information, formatting and proof-reading resources.


 Examinations and Assessment

  • Primarily responsible for creating submission boxes and managing coursework submissions.
  • Set up Moodle/Turnitin submission boxes and manage electronic submissions, marking and feedback for designated modules.
  • Create marks spreadsheet templates to support the collection and accurate recording of coursework marks during the academic session, tracking non-submissions.
  • Provide support on various exam-related tasks including processing of final marks, co-ordinating and producing mark sheets for examinations, supporting arrangements for Boards of Examiners meetings.
  • Apply and keep record of relevant mark penalties and extensions for designated modules.
  • Track, collate and format examination questions and solutions.
  • Upload coursework and exam marks onto Portico and produce module report form templates for exam boards.
  • Service examination boards including room and catering bookings, agenda setting and minute taking where required.
  • Support logistical arrangements for departmental exams.
  • Ensure exams are set up.
  • Support the preparation of documentation for external examiner audit.


Committees, Meetings and Reports

  • Produce reports for designated programmes and modules upon request.
  • Service relevant committees to include gathering agenda items, distributing paperwork, contributing to the meeting, taking and circulating minutes.
  • Keep informed about course and committee developments, attending and participating in meetings as required.
  • Produce instructions and guidance for staff and students when required.


Administrative Support

  • Support Open Day/recruitment activities and student events as required.
  • Provide cover for other colleagues in busy periods or when staff are on annual or sick leave.
  • Assist line manager and other senior colleagues when required with requests for information, enquiries, general support etc.
  • Work closely with Teaching and Learning Support Team (TALST) to review administrative systems which support learning and teaching activities.


Person Specification:

  • Experience of administration in Higher/Further Education.
  • Familiarity with online learning environments.
  • Excellent communication skills.
  • Excellent interpersonal skills.
  • Ability to exercise tact and discretion.
  • Strong IT skills in Word, Excel, Outlook, shared online documents, video conferencing systems, email and internet.
  • Ability to prioritise and organise own workload.
  • Ability to work under pressure and deal with high volumes of processing.
  • Ability to work accurately and with high attention to detail.
  • Ability to meet time-critical schedules.
  • Ability to work independently and as part of a team.
  • Knowing your key stakeholders and keeping them informed.
